TECHNOLOGY SPECIALIST

POSITION DESCRIPTION

The Foundation is hiring a Technology Specialist who shares the Foundation’s core values, has strong technology skills with some accounting experience, and is adaptable to work across various areas of operations. This position requires an aptitude to learn and engage technology in operational processes and to provide administrative and technical support in a wide range of areas. In addition, basic accounting knowledge is required as this position will perform basic accounting duties. As a member of the Operations Staff, the Technology Specialist may also be asked to provide general support of various day-to-day operations. The position is full-time reporting to the Director of Finance and Operations. The position is based in Winston-Salem, NC/Forsyth County, and candidates must be willing to reside in Forsyth County.

DESCRIPTION OF RESPONSIBILITIES

At ZSR, all staff work together to live out the Foundation's mission and core values, and every role is integral to the Foundation’s work.  Operations Staff ensure internal processes are effectively executed in support of the Foundation’s mission, strategies, and commitments.  This position’s primary duties include but are not limited to:

Technology

  • Serving as a highly knowledgeable and proficient power user of key software packages used by the Foundation for grantmaking, accounting, document sharing and retention, communication, and general operations.The Foundation currently uses Blackbaud Skyview and FE/NXT, SharePoint, and Microsoft O365.This role will be expected to work with staff to maximize use of software in the execution of processes.This power user would manage access to software, implement the use of new features and functions, and coordinate staff training where needed.
  • Managing the Foundation’s VOIP phone system, AV office equipment, and badge entry system.
  • Managing the internal SharePoint site which is used for document sharing among staff and Trustees.
  • Providing first-level user support related to computers and telephones including problem determination, escalation, tracking, and resolution. Providing overall management of help desk tickets.
  • Evaluating, testing, and implementing off-the-shelf software and end-user hardware.
  • Routine testing of software used to backup and recover critical data as well as data recovery processes and protocols.
  • Serving as liaison to the external technology consultant who provides (1) advanced user support, (2) expertise and support of device and hardware setup, (3) network administration, and (4) oversight of the cybersecurity environment and general technology infrastructure.
  • Maintaining the inventory of and access to software and applications used in general operations, grantmaking, and accounting.
  • Maintaining the inventory of laptops, cell phones, hardware, software, and peripherals.

Accounting

  • Serving as a general backup to the Foundation’s accountant in monthly closing duties.
  • Assisting the Accountant and Director of Finance and Operations with the annual financial audit and tax return.
  • Processing and filing the quarterly request for sales tax refund.
  • Additional accounting duties as needed.

General Operations

  • Attending Board meetings and other meetings of the Foundation as deemed necessary.Some overnight travel is required (<5%).This role provides technical support for meetings.
  • Additional operational responsibilities may be assigned as needed.

QUALIFICATIONS

The successful candidate is highly organized with excellent time-management skills, detailed-oriented, inquisitive, eager to learn, adaptable to change, creative in finding and applying solutions to problems, and skillful in working and communicating with others. Candidates must be able to work collaboratively and professionally in a team environment.

Required:

Candidates must also have a robust working knowledge of and experience in technology.

  • Microsoft O365 including but not limited to SharePoint, Word, Excel, PowerPoint, MS Teams, Adobe - both desktop and cloud-based versions of the software. Experience with grantmaking software is a plus.
  • Video Conferencing software such as Zoom and MS Teams. Experience with video conferencing hardware a plus.
  • Backup software for electronic data, documents, and files and processes for backing up critical data.
  • User support particularly in a hybrid work environment.
  • Software and hardware management and troubleshooting particularly in a small office environment.
  • Experience with both mobile and PC-based hardware and software including Windows, Mac, and IOS operating systems.
  • Ability to interact with users with varying levels of knowledge and comfortability with technology.
  • Ability to manage multiple priorities with limited supervision.
  • 5 to 7 years of related work experience in technology and at least 2 years in accounting.

The ideal candidate also has a background in accounting or bookkeeping with a keen understanding of internal controls. General accounting knowledge with demonstrated experience in general ledger closing and journal entry posting, including cash disbursements.

A bachelor’s degree from an accredited college or university is preferred but not required. Experience with data analysis or data management is a plus.

WORK SCHEDULE

While there will be some flexibility for hybrid work, this is not a remote position, and candidates should expect to regularly work from the office. Our office is in downtown Winston-Salem.

  • Operates in a professional office environment and performs primarily sedentary work.
  • Routinely uses standard office equipment such as computers, printers, copiers, and phones.
  • Sits for prolonged periods at a desk. Frequent standing and walking. Occasional stooping, reaching, bending, climbing, pushing, pulling.
  • Repetitive use of fingers and hands for typing and other tasks.
  • Frequent listening, speaking, and use of visual acuity.
  • Occasional lifting up to 35 lbs.
  • Ability to use all senses to safely drive a vehicle, and ability to drive a vehicle.

SALARY AND BENEFITS

Salary range is $65,000-$75,000, commensurate with experience. Benefits include generous paid time off (PTO) and holidays, health insurance, life insurance, dental insurance, vision insurance, long-term disability insurance, sick leave and short-term disability, parental leave and a 403(b) retirement plan. There is no waiting period for participation in the 403(b) retirement plan. Other optional benefits include a flexible benefit plan, matching gifts program, professional development, and tuition reimbursement.
